Follow-Up Messages
This feature allows setting a series of messages, that will be sent to the recipients automatically after a specified period of time after registration date or other date field in recipient's page.
How does it work?
There are two types of follow messages:
Daily Follow-up message: In this case, the same message will be sent out to the same group over and over again every day. This might be useful, for example, if you want to send the same link every day, while the content of the link is changed. You will only be required to choose whether to create a new report for each day, or to use the same report every day.
By Date Follow-up message: We set the date we want to relate to from the recipient's details (e.g. registration date, birthday, etc.), and a time period (in days), then we set an hour, when we want the mail to be sent. The message will be sent X days after the date we relate to, or in other words, if the time period is 5, and the date we relate to is the registration date, every day, the system will check at the hour we set, whether there is a recipient that 5 days have passed from his registration date. If so, the message will be sent.
In order to create a new follow-up message, choose "Follow-up Messages" form the "My groups" menu. In the following window, fill in the delivery details:

1. Message name: The displayed messages are all the the messages in the system, that have bees sent to test. 2. Send to folder \ group: The group the message will be sent to. 3. Send message X days after: Set the time period and the date to relate to. Note: If you want to create a follow up message for an event that repeats once a year, a birthday, for example, you should choose the 'Absolute date' radio button to be 'No'. 4. Hour: The hour when the message will be sent. 5. Status: it is possible to stop a specific message temporarily, without deleting the rule. 6. Description: Field that helps to identify the message.
After adding the rules, they will appear in the follow-up management interface:

There are few important things to note about follow-up messages: 1. When setting a follow-up with absolute date the message will be sent out to recipients that meet this condition AND to all the recipients that already passed the date.For example, if you set a follow-up that relates to the registration date, the message will be sent to all its recipients that didn't receive this message yet, even if they've registered a month or two ago.
2. If you want to change the message that is sent as a follow up, it's better to turn off it's status for an 48 hours before running it again. The reason is, that system checks if there are recipients that meet the conditions of the follow up 48 hours back (to avoid a situation where a recipient won't get a message because of some temporary problem). So in order one recipient won't get the old and the new message it's better to pause the follow-up service for 2 days in case of changing the letter.
